Q. I won't be arriving until 10.00pm, will I be able to get into my accommodation?

A. The reception service operates 24hrs a day, 365 per year.

Q. Can you cater for my special dietary needs?

A. Clients with Halal and Kosher diets - At Castle Leazes Halls food can be pre arranged for supply during the conference from a local approved specialist supplier.
Dietary needs as a result of medical conditions - our Catering Managers will be pleased to advise. With special requirements, you will be advised in our terms & conditions of the notice that is required to make these arrangements for you.

Q. Do you have a bar on site?

A. Yes, both Castle Leazes and Henderson Hall have bars which can be opened by prior arrangement with the organiser. During quiet periods when few people are staying in Hall, they are not normally open.

Q. Do you have accessible bedrooms?

A. Castle Leazes Halls has eight accessible rooms with wash basins, electrically controlled windows and adapted accessible wardrobes. In addition, there are alarm systems linked to main reception in each room. There are no accessible bedrooms at Henderson Hall.

Q. I have to leave early tomorrow morning at approx 6.30am - will I still be able to have breakfast?

A. Continental breakfast will be available by prior arrangement with your conference organiser or our reception staff.

Q. My flight doesn't leave until 5.00pm and I understand check out is 10.00am, will I have to vacate my room?

A. That will depend on how busy the Halls are!. If the room is not required, and by prior arrangement you may use the room up to departure. If you are asked to check out at 10.00am you will be shown where you may leave your luggage until final departure, you may also use the Halls facilities and services (subject to availability)

Q. Am I able to park my car?

A. Parking is available both at the Castle Leazes Halls and Henderson Halls site, it is however very limited and preference will be given to customers with special needs.

Q. We are a group of 13 - 18 year olds, are you able to provide a special group rate?

A. Yes, our current group rates start from £18.50 per person per night for bed & breakfast.

Q. Are you able to provide conference facilities all year round?

A. We do not have dedicated all year round conference centres that can provide residential accommodation, however we do have excellent facilities in our Halls of Residence for group meetings & Conferences.

Q. Do you have lecture theatres or meeting rooms fitted with induction loops for people with hearing impairments?

A. Some of our main lecture theatres are equipped with induction loops, our staff will be pleased to advise.

Q. Do you have access for people with disabilities to your meeting space.

A. Many of our lecture theatres, meeting rooms and residences have wheelchair access.

Q. Do you have video conferencing?

A. The University has a number of facilities for video conferencing. Claremont Tower (room118) can accommodate up to 70 participants and uses ISDN (6 channel) as well as IP connections. The Audio Visual Centre Television studio can accommodate up to 12 participants around a specially built desk. Video conferencing is also possible in certain lecture theatres - please ask for further details. University Halls of Residence do not at present have video conferencing facilities.

Q. Will there be a technician on site if I have problems with my Audio Visual equipment?

A. This can be arranged with prior notification - please contact the Conference Bookings office for current rates.

Q. What is your policy on smoking?

A. The University operates a no smoking policy, however certain areas are designated for smokers, we will be pleased to advise you of these locations.

Q. When will I receive my invoice?

A. Normally, invoices will be raised as soon as all the costs of the event have been collated, usually 2 - 3 weeks.

Q. Can I get into the meeting space the day before to set up?

A. This will depend on the availability of that space, however, every effort will be made to ensure reasonable access prior to the event.

Q. What is the seating capacity of your largest lecture theatre?

A. The RB Green theatre in the Dental school seats 450 persons and can be partitioned if required.

Q. What is the proximity of lecture theatres to residential accommodation?

A. The Dental & Medical Schools are situated close to the Castle Leazes Halls of Residence, a walk of 5 - 10 minutes. The lecture theatres on campus are a 10 - 15 minute walk from Castle Leazes. Henderson Hall, situated approximately 3 miles from the city centre can offer meeting space throughout the year in Old Hall a fine grade 2 listed building.

Q. Do you have a day delegate rate?

A. We do not publish a day delegate rate, but the Conference Bookings Office will be pleased to quote for all your requirements on a day package.
